Terms & Coditions

The Cartologist at the Garden House

Last updated: 01 January 2026

These Terms & Conditions apply to bookings, purchases and services provided by The Cartologist at the Garden House (“The Cartologist”, “we”, “us” or “our”), including restaurant and bar reservations, hotel accommodation, Bottomless Brunch, private events, functions, group bookings, ticketed events and other hospitality services.

Please read the relevant terms before making a booking or payment. By completing a booking or purchase after these Terms have been made available to you, you agree to the terms applicable to that booking.

Nothing within these Terms & Conditions affects your statutory rights.

1. General Bookings

1.1 All bookings are subject to availability.

1.2 Submitting an enquiry does not guarantee or secure a reservation.

1.3 A booking is considered confirmed once we have accepted the reservation and any required deposit, pre-authorisation, card guarantee or advance payment has been completed.

1.4 Customers are responsible for providing accurate contact details and booking information.

1.5 If your contact details, guest numbers, arrival time or other important booking information changes, please notify us as soon as possible.

1.6 We reserve the right to refuse or cancel a booking where there are reasonable grounds to do so, including suspected fraud, safety concerns, unlawful activity, serious previous misconduct or failure to make a required payment.

1.7 Where we cancel a booking for reasons that are not the customer’s fault, any refund due will be handled in accordance with applicable consumer law.

2. Prices

2.1 Prices displayed on our website, menus and promotional materials are shown in pounds sterling (£) and include VAT where applicable unless stated otherwise.

2.2 Prices may change from time to time.

2.3 A future change to our general prices will not normally change the agreed price of an existing confirmed booking unless the booking conditions expressly provide otherwise and the change is permitted by law.

2.4 Additional products or services requested after confirmation may be charged at the price applicable when they are added.

2.5 We reserve the right to correct obvious pricing or typographical errors.

2.6 If an error affects an existing booking, we will contact you and explain the available options rather than automatically charging an increased amount.

RESTAURANT & BAR

3. Restaurant Reservations

3.1 Restaurant reservations are subject to table availability.

3.2 We recommend arriving promptly for your reservation.

3.3 If you are running late, please contact us as soon as possible.

3.4 If you arrive substantially later than your reservation without contacting us, we may release your table where reasonably necessary.

3.5 We cannot guarantee requests for specific tables, seating positions or areas unless expressly confirmed.

3.6 During busy periods, tables may be required back after an allocated period. Where a time restriction applies to your booking, this will be communicated when reasonably practicable before confirmation.

4. Large Parties & Group Bookings

4.1 Large-party bookings may be subject to additional requirements, including:

4.1.1 Deposits;
4.1.2 Card guarantees;
4.1.3 Pre-orders;
4.1.4 Set menus;
4.1.5 Minimum spends;
4.1.6 Final guest-number deadlines; and
4.1.7 Advance payment.

4.2 Any additional requirements will be communicated as part of the booking process.

4.3 The person making the reservation is treated as the principal booking contact and is responsible for providing accurate information.

4.4 Where final guest numbers are required by a particular deadline, catering and staffing may be arranged based upon those numbers.

4.5 If numbers are reduced after the deadline, reasonable charges may apply where we have already incurred costs or are unable to mitigate the resulting loss.

5. Food & Menu Availability

5.1 Menus and individual dishes are subject to availability.

5.2 From time to time, ingredients may become unavailable or dishes may need to be changed.

5.3 Where reasonably possible, suitable alternatives will be offered.

5.4 Images of food and drinks used on our website or marketing materials are illustrative unless expressly stated otherwise.

5.5 We reserve the right to make reasonable menu changes without notice where necessary because of availability, seasonality or supply issues.

6. Allergies & Dietary Requirements

6.1 Please inform us of any food allergy, intolerance or important dietary requirement before ordering.

6.2 For group bookings, events and pre-orders, allergy and dietary information should be provided before the applicable deadline wherever possible.

6.3 Guests with allergies should also identify themselves to a member of our team when ordering.

6.4 Our kitchen handles multiple allergens and, although procedures are in place to reduce the risk of cross-contact, we cannot guarantee that any environment is completely free from traces of allergens.

6.5 Allergen information may change when recipes, ingredients or suppliers change.

6.6 Customers should therefore request current allergen information rather than relying solely on information from a previous visit or an older menu.

7. Alcohol

7.1 Alcohol is supplied strictly in accordance with licensing law and the conditions of our premises licence.

7.2 We reserve the right to refuse the sale or supply of alcohol where required or permitted by law.

7.3 Alcohol will not be served to anyone who is underage.

7.4 Customers may be required to provide acceptable photographic proof of age.

7.5 We may also refuse alcohol service to anyone who appears intoxicated or where continuing service would be irresponsible or unlawful.

7.6 Refusal of alcohol service for legitimate licensing or safety reasons does not automatically entitle a customer to a refund for drinks or packages already legitimately supplied.

8. Challenge 25

8.1 We may operate a Challenge 25 policy.

8.2 If you are fortunate enough to look under 25, please be prepared to provide acceptable photographic identification when purchasing alcohol.

8.3 Acceptable identification should be an approved form of photographic ID showing the holder’s date of birth.

9. Outside Food & Drink

9.1 Food and drink purchased elsewhere must not normally be consumed on our premises without prior permission.

9.2 Exceptions may be agreed for items such as celebration cakes, specialist dietary products or infant food.

9.3 Outside alcohol must not be brought onto or consumed on the premises without express permission.

BOTTOMLESS BRUNCH

10. Bottomless Brunch Bookings

10.1 Bottomless Brunch is subject to availability and the package advertised at the time of booking.

10.2 Unless otherwise stated during booking, Bottomless Brunch lasts for two hours from the confirmed booking time.

10.3 Late arrival does not automatically extend the session.

10.4 Guests are encouraged to arrive in sufficient time to enjoy the full booking period.

11. Bottomless Brunch Drinks

11.1 Only drinks specifically included within the purchased package are included.

11.2 Bottomless drinks are intended for the individual guest participating in the package and must not be shared with other guests.

11.3 Alcoholic drinks will always be served responsibly.

11.4 Participation in a Bottomless Brunch does not create an entitlement to unlimited alcohol regardless of intoxication, behaviour or licensing requirements.

11.5 Our team may slow, suspend or stop alcohol service where reasonably necessary.

11.6 Service may be refused to any guest who appears intoxicated.

11.7 Our team’s decision regarding responsible alcohol service must be respected.

12. Bottomless Brunch Food

12.1 The food included within a Bottomless Brunch is determined by the package advertised or selected at the time of booking.

12.2 Additional food, sides, upgrades or products outside the package will be charged separately.

12.3 Menu items remain subject to availability.

13. Bottomless Brunch Conduct

13.1 Bottomless Brunch should be enjoyed responsibly.

13.2 Abusive, aggressive, excessively disruptive or unsafe behaviour will not be tolerated.

13.3 We reserve the right to stop alcohol service or require an individual to leave where reasonably necessary for licensing, safety or serious misconduct.

13.4 Where service is restricted because of a customer’s conduct or intoxication, this does not automatically create an entitlement to a refund.

DEPOSITS, PAYMENTS & CANCELLATIONS

14. Deposits

14.1 Some bookings require a deposit or advance payment.

14.2 Where required, the amount and applicable conditions will be communicated before the booking is confirmed.

14.3 Payment of a deposit secures the booking subject to the applicable booking conditions.

14.4 Once a booking has been confirmed, we may reserve capacity, arrange staffing, purchase stock, make preparations and decline other bookings in reliance upon the reservation.

15. Cancellation by the Customer

15.1 Please tell us as soon as possible if you need to cancel.

15.2 Specific cancellation periods may apply to different services, including hotel accommodation, restaurant groups, Bottomless Brunch and private events.

15.3 Where a customer cancels and we are not at fault, we may retain or recover a reasonable amount necessary to cover losses directly resulting from the cancellation.

15.4 This may include reasonable costs already incurred and lost profit where the booking cannot reasonably be resold.

15.5 We will take reasonable steps to reduce our losses where possible.

15.6 Any cancellation charge or amount retained from an advance payment will be proportionate to the loss arising from the cancellation.

15.7 Where we are able to resell the booking and thereby reduce our loss, this will be taken into account.

16. No-Shows

16.1 Failure to attend a confirmed reservation without cancelling may result in a no-show charge where this was disclosed as a condition of booking.

16.2 For bookings involving advance payments, deposits or pre-ordered products, reasonable amounts may be retained to cover losses resulting from the no-show.

16.3 Repeated no-shows may affect our ability to accept future reservations.

17. Refunds

17.1 Refund eligibility depends on the circumstances and the conditions applicable to the booking.

17.2 Where a refund is due, we will normally return payment to the original payment method.

17.3 Processing times may vary depending upon the payment provider.

17.4 Nothing in our refund or cancellation policy restricts rights available to customers under applicable consumer law.

PRIVATE EVENTS & FUNCTIONS

18. Private Events

18.1 Private-event terms apply to functions including, but not limited to:

18.1.1 Birthday celebrations;
18.1.2 Engagements;
18.1.3 Weddings and wedding celebrations;
18.1.4 Baby showers;
18.1.5 Christenings;
18.1.6 Wakes;
18.1.7 Corporate functions;
18.1.8 Christmas parties;
18.1.9 Private dining;
18.1.10 Celebrations; and
18.1.11 Other private-hire arrangements.

18.2 Event availability is not guaranteed until the booking has been confirmed.

19. Event Deposits

19.1 A deposit may be required to secure an event date and space.

19.2 Once confirmed, we may remove the relevant space from general availability, decline alternative enquiries, arrange staffing and begin preparations.

19.3 Where an event is cancelled by the customer, we reserve the right to retain an appropriate amount from the deposit or other advance payments to cover losses directly resulting from the cancellation.

19.4 This may include reasonable administration and preparation costs, non-recoverable supplier commitments and lost profit where the reserved capacity cannot reasonably be resold.

19.5 We will take reasonable steps to mitigate our losses.

19.6 Any amount retained will not exceed the loss we are reasonably entitled to recover.

20. Event Final Numbers

20.1 Final guest numbers must be supplied by any deadline specified in the event booking agreement.

20.2 Food, staffing, table arrangements and other resources may be organised using the final confirmed number.

20.3 Where numbers decrease after the final confirmation deadline, charges may still be based on the confirmed number to the extent that we have already incurred costs or cannot reasonably reduce our losses.

20.4 Increases in guest numbers are subject to availability and capacity.

21. Event Payments

21.1 Payment deadlines will be specified during the booking process.

21.2 We may require full payment before certain events.

21.3 Failure to make an agreed payment by its deadline may result in cancellation of the booking after appropriate notice, where applicable.

21.4 Any additional purchases made during an event must be settled before departure unless another payment arrangement has been expressly agreed.

22. Event Changes

22.1 Requests to change an event date, time, guest numbers, food, package or event space are subject to availability.

22.2 We cannot guarantee that a requested change will be possible.

22.3 Changes may affect the price of the event.

22.4 Where a booking is transferred to another date, prices and packages available on the new date may apply.

23. Event Decorations

23.1 Customers wishing to decorate an event space should discuss their plans with us beforehand.

23.2 Decorations must not damage walls, ceilings, furniture, fixtures or fittings.

23.3 Nails, screws, staples and other damaging fixings must not be used.

23.4 Confetti, glitter, smoke effects, pyrotechnics, open flames and similar products may be prohibited or require prior permission.

23.5 Customers may be responsible for reasonable repair or exceptional cleaning costs resulting from their decorations.

24. External Suppliers

24.1 DJs, musicians, entertainers, decorators and other external suppliers may require prior approval.

24.2 External suppliers must comply with applicable law, health and safety requirements and reasonable Venue instructions.

24.3 We may request evidence of appropriate insurance, electrical safety documentation or other relevant documentation.

24.4 Suppliers contracted directly by a customer remain the customer’s responsibility.

HOTEL ACCOMMODATION

25. Hotel Reservations

25.1 Accommodation is subject to availability and the rate conditions displayed when booking.

25.2 Different room rates may have different payment, amendment and cancellation conditions.

25.3 Please review these conditions before confirming your reservation.

25.4 Where accommodation is booked through a third-party booking provider, additional terms imposed by that provider may apply.

26. Hotel Check-In

26.1 Standard check-in is available from 3:00 pm.

26.2 Guests should normally check in by 10:00 pm unless alternative arrangements have been made.

26.3 Late-arrival or self-check-in arrangements may be available.

26.4 Where lockbox or self-check-in information is provided, guests must keep access codes and security information confidential.

27. Hotel Check-Out

27.1 Guests must vacate their accommodation by the check-out time stated in their booking information.

27.2 Late check-out is subject to availability and prior agreement.

27.3 Reasonable additional charges may apply for an agreed late check-out.

27.4 Where unauthorised late departure causes us additional losses or prevents us preparing the room for another guest, reasonable additional costs may be recoverable.

28. Hotel Cancellations

28.1 Hotel cancellation conditions depend upon the rate selected.

28.2 Flexible, promotional, advance-purchase and other rates may have different cancellation requirements.

28.3 The applicable conditions will be displayed during booking.

28.4 Where accommodation has been booked through a third-party provider, cancellations should normally be processed through the original booking provider where required by that platform.

29. Hotel No-Shows

29.1 Guests who do not arrive on their scheduled arrival date and do not contact us may be treated as a no-show.

29.2 Applicable charges will be determined by the rate and cancellation conditions agreed when booking.

29.3 For multi-night reservations, we may release the remaining accommodation where reasonably permitted by the booking conditions.

30. Hotel Guest Behaviour

30.1 Hotel guests must behave respectfully towards staff, other guests and neighbouring properties.

30.2 Excessive noise, parties in bedrooms, threatening or abusive behaviour, unlawful activity and deliberate damage are prohibited.

30.3 We may require guests to leave in cases of serious misconduct.

30.4 Any financial consequences will be determined according to the circumstances, the booking agreement and applicable law.

31. Smoking

31.1 Smoking is prohibited inside the Venue, including hotel bedrooms.

31.2 Where smoking in a bedroom results in additional cleaning, deodorising, damage or the room being unavailable for subsequent guests, we may recover reasonable resulting costs.

32. Hotel Damage

32.1 Guests are expected to take reasonable care of rooms, furniture, fixtures and equipment.

32.2 Customers may be responsible for reasonable repair or replacement costs for damage caused deliberately or negligently by themselves or members of their party.

32.3 Guests will not be charged for ordinary wear and tear.

33. Hotel Noise

33.1 The Cartologist is a working bar, restaurant and event venue.

33.2 Guests should therefore be aware that normal hospitality activity, music, customers and private events may occasionally be audible from bedrooms.

33.3 We take reasonable steps to manage noise and minimise unnecessary disturbance.

33.4 Nothing in this provision limits our obligation to provide accommodation services with reasonable care and skill.

CONDUCT & VENUE POLICIES

34. Customer Conduct

34.1 We want The Cartologist to remain a safe and enjoyable environment.

34.2 We will not tolerate:

34.2.1 Violence or threats of violence;
34.2.2 Aggressive or intimidating behaviour;
34.2.3 Abuse towards employees or other guests;
34.2.4 Discrimination or harassment;
34.2.5 Deliberate property damage;
34.2.6 Illegal drug activity;
34.2.7 Serious disorderly behaviour; or
34.2.8 Interference with safety or security equipment.

34.3 Serious incidents may result in removal from the premises and, where appropriate, referral to the police.

35. Children & Under-18s

35.1 Children must be appropriately supervised by a responsible adult.

35.2 Age restrictions may apply at certain times, in certain areas or during particular events.

35.3 Under-18s remaining on the premises after 9:00 pm are only permitted where applicable private-event arrangements and licensing conditions allow.

35.4 Proof of age may be requested.

36. Illegal Drugs

36.1 Possession, supply or use of illegal drugs is prohibited.

36.2 Where illegal activity is reasonably suspected, we may take appropriate action including refusing service, requiring individuals to leave and contacting the police.

37. Damage to Property

37.1 Customers may be responsible for reasonable costs arising from deliberate or negligent damage they or members of their party cause to our property.

37.2 This can include furniture, fixtures, glassware, hotel rooms, decorations and equipment.

37.3 Charges will reflect reasonable repair, replacement or cleaning costs rather than being imposed as a penalty.

38. Personal Belongings

38.1 Customers are responsible for taking reasonable care of their belongings.

38.2 Please report lost property to our team.

38.3 We cannot accept responsibility for loss, theft or damage where the loss was not caused by a breach of our legal obligations.

38.4 Nothing in this provision excludes liability that cannot lawfully be excluded.

39. Health & Safety

39.1 Customers must follow reasonable health, safety, fire and emergency instructions given by our team.

39.2 Fire exits and escape routes must not be obstructed.

39.3 Fire alarms, extinguishers, detectors and other safety equipment must not be tampered with.

CHANGES, CANCELLATION & LIABILITY

40. Cancellation by The Cartologist

40.1 Occasionally, circumstances may require us to cancel or materially alter a booking.

40.2 Where this happens for reasons that are not the customer’s fault, we will inform the customer as soon as reasonably practicable and provide the remedies required by applicable law.

40.3 We will not simply retain payment for services we cancel and do not provide where the customer is legally entitled to repayment.

41. Circumstances Outside Our Reasonable Control

41.1 Circumstances genuinely outside our reasonable control may occasionally prevent or materially affect the provision of a service.

41.2 Examples may include serious emergencies, extreme weather, significant utility or infrastructure failures, government restrictions and other exceptional circumstances.

41.3 Where this affects a booking, we will communicate with affected customers and consider rearrangement, refunds or other appropriate remedies according to the circumstances and applicable law.

42. Changes to Events

42.1 Occasionally, advertised entertainment, performers, menus or other event details may need to change.

42.2 Where a change is minor and the essential nature of the event remains substantially the same, this will not necessarily create an automatic right to a refund.

42.3 Where a change is material, customers will be offered any remedy required by applicable consumer law.

43. Liability

43.1 Nothing in these Terms excludes or limits liability where doing so would be unlawful.

43.2 This includes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

43.3 We are responsible for providing our services with the level of care and skill required by law.

43.4 Subject to applicable consumer law, we are not responsible for losses that could not reasonably have been foreseen when the relevant contract was entered into.

44. Complaints

44.1 If something goes wrong during your visit, please raise it with a member of our team or the duty manager as soon as possible.

44.2 Giving us the opportunity to address an issue while you are with us will often allow it to be resolved immediately.

44.3 Complaints following a visit or stay can be submitted directly to The Cartologist using the contact information published on our website.

44.4 Complaints will be reviewed fairly and investigated where appropriate.

45. Third-Party Booking Providers

45.1 Some bookings may be made through third-party booking providers.

45.2 Third-party platforms may have their own terms relating to payments, amendments, cancellations and refunds.

45.3 Customers should review the applicable conditions before completing their booking.

45.4 Nothing in a third-party agreement removes any legal obligations The Cartologist has in relation to services we provide.

46. Promotions & Offers

46.1 Promotions and discounts are subject to the conditions advertised with the relevant offer.

46.2 Unless expressly stated otherwise:

46.2.1 Offers cannot be combined;
46.2.2 Offers are subject to availability;
46.2.3 Offers cannot be exchanged for cash;
46.2.4 Discounts cannot normally be retrospectively applied to completed transactions; and
46.2.5 Additional restrictions may apply to particular dates, menus or services.

46.3 We may withdraw or amend promotions for future purchases.

46.4 Any promotion already forming part of a confirmed contract will be honoured according to its applicable conditions.

47. Gift Vouchers

47.1 Gift vouchers, where available, are subject to the conditions displayed when purchased.

47.2 These may include an expiry date and restrictions on particular products or events.

47.3 Gift vouchers have no cash value except where required by law.

47.4 Customers should treat gift vouchers as they would cash.

47.5 Replacement of lost or stolen vouchers cannot be guaranteed where ownership cannot reasonably be verified.

48. Accessibility

48.1 We aim to provide an accessible and welcoming environment.

48.2 Customers with accessibility requirements are encouraged to contact us before their visit so we can provide relevant information and discuss any reasonable adjustments required.

49. CCTV

49.1 CCTV operates within areas of the premises for legitimate purposes including security, crime prevention and the safety of customers and employees.

49.2 CCTV footage is handled in accordance with applicable data protection legislation and our Privacy Policy.

50. Personal Information

50.1 Personal information collected through reservations, enquiries and transactions will be processed in accordance with our Privacy Policy and applicable data protection legislation.

50.2 Our Privacy Policy should be read alongside these Terms & Conditions.

51. Changes to These Terms

51.1 We may update these Terms & Conditions from time to time to reflect changes to our services, operating procedures or legal requirements.

51.2 The current version will be made available through our website.

51.3 Changes to these general Terms will not retrospectively remove contractual rights already established under an existing confirmed booking.

52. Severability

52.1 If any part of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

53. Governing Law

53.1 These Terms & Conditions are governed by the laws of England and Wales.

53.2 Nothing in these Terms affects any mandatory rights a consumer may have regarding the jurisdiction in which they may bring legal proceedings.

54. Your Statutory Rights

54.1 Nothing contained within these Terms & Conditions is intended to exclude, restrict or replace rights available to consumers under applicable law.

54.2 Where these Terms conflict with a mandatory statutory right, the statutory right will take precedence.
